Getting started
How do I create my first invoice?
From the dashboard, tap New invoice. Pick a customer (or add one on the spot), add the products or services you're billing for, and save. If you haven't added products yet you can type the line description and price directly — no need to create them ahead of time.
Once saved, the invoice is a draft. Tap Send (email, SMS, or WhatsApp) to deliver it to your customer; Sarala will mark it as sent automatically.
I picked the wrong business type during setup. Can I change it?
Yes. Email hello@sarala.lk with your business name and the correct type (retail, home baker, saloon, freelancer, pharmacy, etc.) and we'll switch it over — usually within one business day. Your existing invoices, customers, and history are preserved; only defaults and layouts change.
Invoices
How do I mark an invoice as paid?
Open the invoice and tap Mark paid. Sarala creates the matching cashbook entry for you — you don't need to record it twice.
If you tapped paid by mistake, you can tap Mark unpaid on the same invoice and the cashbook entry is reversed automatically.
My customer didn't get the WhatsApp message — why?
On the Free plan, tapping Send via WhatsApp opens your WhatsApp with the message pre-filled — you tap send yourself. Your customer must have WhatsApp installed on the number on file.
On Pro, Sarala sends messages server-side via WhatsApp Business. If delivery fails, check: the customer's phone number is correct in E.164 format (e.g. +94771234567), and they haven't blocked your business number.
Payments
Can my customer pay the invoice online?
Yes — once PayHere is connected in settings, your invoices include a Pay now link. Your customer taps it, pays with their card or bank, and Sarala marks the invoice paid the moment PayHere confirms. No manual reconciliation.
PayHere charges a small fee per transaction. Sri Lankan cards and most international cards are supported.
I work in foreign currency. Can I invoice in USD or EUR?
Yes. In settings, set your primary currency to the one you bill in most. When creating an invoice you can override the currency per invoice (useful for export freelancers). The CBSL buy rate is used for any LKR equivalent display.
Customers
How do I share a customer's payment history with them?
Open the customer page and tap Copy ledger link, or Send via WhatsApp. The link opens a read-only page showing every invoice you've raised for them, what's paid, and what's outstanding. No account needed — the link works in any browser.
You can revoke all outstanding links by rotating your ledger secret in settings (rarely needed).
Inventory
How do I know when I'm running low on something?
If stock management is on (Pro), each product has a reorder level. When quantity-on-hand drops below that threshold, the dashboard shows a Needs attention tile and you'll get an email nudge (subject to your notification preferences).
Set the threshold per product from the product edit page.
How do I do a physical stock count?
Go to Products, find the item, tap Adjust stock, and enter the counted number. Sarala records the difference in the stock ledger with a reason of "count adjustment" so your reports stay accurate.

Reports
Can I export a report as PDF or CSV?
Yes. Every report (P&L, Cash Flow, VAT, Invoice list, etc.) has Export PDF and Export CSV buttons in the top right. PDFs use your invoice template branding. CSVs are UTF-8 and work in Excel, Google Sheets, and Numbers.
Account & billing
How do I upgrade to Pro?
Go to Settings → Billing and pick a plan. Payment is via PayHere (Sri Lankan cards supported). You're not locked in — cancel any time and you keep access until the end of the billing period.
New accounts get a 14-day free trial of Pro, no card required.
How do I download all my data?
Go to Settings → Privacy & data → Export all my data. You'll get a ZIP containing every invoice PDF, all your customers, products, suppliers, cashbook, and this quarter's P&L. Small accounts download instantly; larger accounts get an email link within a few minutes.
This is free — exporting your data is a right, not a paid feature.
